Description

Role: Building Host 

Location: Churchill House, Cardiff 

Reporting to: Security Provider /Client  

Status: Full time/ permanent Work Pattern: 08:30-17:00 Monday to Friday, excluding Public Holidays although you may be required to work outside of these hours for events. 

The role of Building Host will act as the primary liaison between tenants, managing agent and landlords, fostering strong relationships and ensuring that the asset operates as a premier commercial destination. The role will emphasize strategic asset management initiatives while maintaining a strong focus on tenant engagement and retention. The role will serve as the main point of contact for tenants, ensuring an outstanding office environment and a seamless occupancy experience. Work closely with property managers to address tenant needs, provide solutions, and enhance service delivery. 

The Landlord, Churchill House Cowell Limited is seeking a proactive, service-driven, and results-oriented Building Host to represent ownership for a newly acquired commercial office asset in Cardiff. This role is pivotal in delivering a high-calibre front-of-house service that enhances the overall tenant experience while working closely with the building’s designated property management team to maximize operational efficiency and tenant satisfaction. 

Typical Responsibilities and Standard Reception duties will include: 

• Meet & greet visitors and guests, recording, announcement and orientation of visitors on in compliance with the instructions issued by the Client

 • Ensuring that the telephone is answered in a timely and professional manner and transferred to the appropriate personnel or messages are taken. 

• Monitor incoming emails and respond or otherwise direct the message to the relevant person. • Take appropriate action for alerts, emergency calls etc. 

• Ensure that the reception area is presentable at all times, liaising with other service provider teams where required. 

• Be adaptable and respond to particular requests by the Client e.g. during special events and visits etc. 

• Arranging of taxis and other services for visitors, client’s and building management team (where appropriate) • Monitor stationary/consumables levels and place regular orders in line with property budget 

• Manage the meeting room booking schedule. Ensure that the meeting room is available and presentable for all bookings

• Responsible for the security of the keys and key safe, signing out keys only to approved persons and ensuring that they are returned. Undertaking periodic key audits. Community Engagement • Assisting in keeping the site community portal updated and in date with current event schedule and latest news 

• Assisting with site specific and promotional events 

• Maintain strong relationships with tenants to support tenant satisfaction and exceptional customer service. 

• Champion the Churchill House within the local business community, organizing initiatives and events that create a dynamic and engaging office environment. 

• Keep up to date and share knowledge of the Cardiff amenities, attractions and local businesses with the ability to proactively engage with potential tenants and stakeholders. Property Management/ administration support 

• Work with the designated property management team to align operational standards with ownership objectives, ensuring best-in-class service levels and building operations. 

• Ensuring that all property & emergency response information is up to date and accurate • Accommodating site viewings and assisting where required 

• Completion of minutes for occupier, supplier and any meetings where necessary. • General admin such as printing, photocopying and scanning 

• Assisting with building checks and vacant floor checks. Ensure that all lettable space is maintained in a presentable and ready to view condition. 

• Act as a first aider and fire marshal for the building and responding in line with the emergency plan in the event of a fire alarm activation or other emergency. 

• Develop relationship with supplier contract managers and communicate regularly via email/telephone to organise planned maintenance or chase up attendance for urgent reactive maintenance issues. 

• Liaising with building occupiers to announce planned works or inform of maintenance issues Skills and Experience 

The successful candidate would Ideally have at least 2 years’ experience in similar role within a high end or other Front of House experience in commercial office or other commercial real estate within property management. With strong relationship management and communication skills. 

The candidate would also benefit from :

• A detail-oriented and results-driven approach to tenant engagement. • A collaborative mindset, working effectively with property management and building team to optimize service levels and enhance the tenant experience. 

• Basic understanding of Property Management industry 

• Enthusiastic, passionate with a commitment to delivering exceptional standards of customer service at all times 

• Mature, accountable attitude with ability to work independently and demonstrate initiative 

• Confident, outgoing personality with a corporate and professional outlook • Ability to prioritise where necessary 

• Good planning and organisational skills • Excellent communication skills and a knowledge of the local area.

• Tact, diplomacy and awareness of confidentiality A good working knowledge of Outlook, Word, Excel and PowerPoint 

• Acute attention to detail • Strong proofing and grammar skills, flair for document presentation • An SIA Licence ,Fire Marshal & First Aid training are desirable but not essential.
